We are Elie & Earlsferry Sailing Club, (EESC), www.eesc.org.uk.
This privacy statement explains how we collect and use personal information about you. We are committed to ensuring that your privacy is protected. Any personal data provided to us by you or by a third party shall only be used in accordance with this notice. Your data will be processed securely and in compliance with data protection law.

What personal data we collect and why we collect it
To allow us to provide you with services as a Club, we need to collect some personal information from you.
The data collected will be the minimum amount of data required to interact with you. Typically this involves your Name, Address, Phone Number and Email Address.
We obtain information from you, from others with your agreement, and from publicly available sources. It is used to:
- Deliver Club membership services and meet our legal responsibilities
- Communication with you by post, email or telephone
- Understand your needs and how they may be met within the Club
- Maintain Club records
- Facilitate process of financial transactions (i.e. invoicing you and receiving payment).
We would also like to be able to contact you from time to time about events/services/changes that may affect you using the contact details provided. If you do not wish this to happen please get in touch with us.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
What we do with your data – external services
Your personal information for the purpose of EESC Club membership management is processed and stored using the WebCollect system. The WebCollect system is provided to us under contract to us by Open Brackets Limited, who own WebCollect. This system is external to us, and we have entered into a binding contract with the provider for this service. WebCollect has been providing membership management solutions to Clubs and Societies since 2010.
The data held is used to record your personal and family membership details and preferences, and facilitate membership subscription payment by direct bank transfer or cheque.
As of 24 May 2018, we (EESC) do not use any payment service within WebCollect, but you will be notified if this changes at any point in the future.
Sometimes it will be necessary to share your personal information with other organisations or Government bodies. We strive to keep this to a minimum, and only if strictly necessary.
We will not pass your details on to third parties for marketing purposes. Here are a few examples of organisations that we may be required to share your personal information with:
- Royal Yachting Association (Typically general membership information for trend analysis)
- Fife Council
- Law Enforcement/Government
We will keep your personal data for seven years as long as you remain a member. If you cease to be a member we will retain the information for two years after date of cessation.
Your legal rights
You have the right to:
Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it.
You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law.
Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms.
You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.
Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios:
- if you want us to establish the data’s accuracy;
- where our use of the data is unlawful but you do not want us to erase it;
- where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or
- you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine- readable format.
Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent.
If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.
We seek to resolve directly all complaints about how we handle personal information, but you also have the right to lodge a complaint with the Information Commissioner’s Office whose contact details are as follows:
